Version 1.6, effective 13 October 2026
These terms govern your use of SkeduloX, the maintenance and job card software at skedulox.co.za. They form an agreement between you and STACKBOU (PTY) LTD. Our Privacy Policy and our Refund and Cancellation Policy form part of these terms.
Summary
- Every new workspace starts with a free trial (7 days, or 14 days on Facility CMMS). No card is needed to start it.
- When you subscribe, you pay your first month (or year) straight away. If you subscribe during the trial, that period starts when the trial ends, so you keep your free days.
- Subscriptions renew automatically every month or every year until you cancel.
- Annual billing gives you two months free: a year costs ten monthly payments.
- Subscriptions are paid in advance, and cancelling needs one month's notice: the month (or year) you have already paid for is that notice. Cancel on the Billing page; nothing further is charged and you keep access until the paid period ends.
- No VAT is charged. STACKBOU (PTY) LTD is not a registered VAT vendor.
- Adding users, storage or a bigger plan during a paid period is charged pro rata for the rest of that period.
- If a payment fails, the workspace becomes read-only until payment succeeds.
- You own your data. We process the personal information in it on your behalf (clause 9).
- Our total liability is capped at the fees you paid in the 6 months before the claim (clause 14).

Complaints: contact@stackbou.co.za. We acknowledge within 5 business days.
In these terms, "we", "us" and "SkeduloX" mean STACKBOU (PTY) LTD. "You" means the person or organisation that creates a workspace or holds a subscription. "Users" means the people you give access to your workspace. "Your Data" means everything you and your users enter into SkeduloX, including job cards, photos, signatures, customer records and documents.
2. Accepting these terms
2.1 You accept these terms when you tick the acceptance box at signup, or when you use SkeduloX. If you accept on behalf of an organisation, you confirm that you are authorised to bind it.
2.2 You must be 18 or older to create a workspace.
2.3 We may amend these terms. We give the workspace owner 30 days' notice by email of a material change. A change does not apply to a period you have already paid for. If you do not accept a change, you may cancel before it takes effect.
3. The service
3.1 SkeduloX is hosted software provided on subscription. The features available to you depend on your plan, as shown on our pricing page and on the Billing page in your workspace.
3.2 We develop SkeduloX continuously, and features change over time. If we remove a core feature of your plan, we give 30 days' notice. You may then cancel and receive a refund of the unused full months of any annual fee.
3.3 We aim to keep SkeduloX available at all times. We do not guarantee uninterrupted service. Planned maintenance is scheduled outside 08:00 to 17:00 SAST on weekdays where possible. No service level agreement applies unless one is agreed in writing for an Enterprise subscription.
3.4 Support is provided by email at support@stackbou.co.za during business hours, 08:00 to 17:00 SAST, Monday to Friday, excluding South African public holidays.
4. Your workspace and users
4.1 The workspace owner controls who has access to the workspace and what each user may do. You are responsible for all activity under your workspace's accounts.
4.2 Each plan includes a number of users. Everyone who can log in counts as a user, including the owner, except a requester: a login that can only report faults and follow its own reports, which is free on plans that include fault reporting. Anyone may also report a fault through an area's QR code without logging in. Extra users are available from the Billing page at the published rate.
4.3 Storage. Each plan includes an amount of file storage for job card photos, job card PDFs and your logo, as shown on our pricing page. Extra storage is available per GB from the Storage page at the published rate. When the storage is full, job cards are still saved, but new photos and uploads are not kept until space is freed or more storage is added. Photos you delete from the Storage page are removed permanently.
4.4 Users must keep their passwords confidential. Report any suspected unauthorised access to support@stackbou.co.za without delay.
4.5 Support access. Our staff enter your workspace only to provide support you have asked for, or to investigate a fault or a security incident. Every support session is time-limited and is recorded in your workspace's Account Activity log.
5. Free trial
5.1 Every new workspace receives a free trial of 7 days, or 14 days on Facility CMMS, starting when the workspace is created. No payment card is needed for the trial.
5.2 To keep using SkeduloX after the trial, the owner subscribes on the Billing page with a card. The first period (a month or a year) is paid when you subscribe. If you subscribe during the trial, that paid period starts on the day the trial ends, so the rest of the trial is not lost. If you subscribe after the trial, it starts on the day you pay.
5.3 Two days before the trial ends, we email the workspace owner a reminder if they have not yet subscribed.
5.4 If you have not subscribed, you may simply let the trial run out. Nothing is charged.
5.5 If the trial ends without a subscription, the workspace becomes read-only. Your records remain available to view and download, and you may subscribe at any time.
5.6 Extra users and extra storage are available once you have subscribed. If you subscribe during the trial and then add extras, the extra amount for the first paid period is charged straight away, as set out in clause 6.5.
5.7 One free trial is available per organisation.
6. Fees and payment
6.1 All prices are in South African Rand (ZAR) and are shown on our pricing page and on the Billing page. No VAT is charged, because STACKBOU (PTY) LTD is not a registered VAT vendor. If we register for VAT, we give 30 days' notice, and VAT is then added to later charges at the prevailing rate.
6.2 Billing cycles. You choose monthly or annual billing. The annual fee is ten monthly payments, so a year includes two months free.
6.3 Recurring charges. By adding a card, you authorise us, through PayFast, to charge it the subscription fee at the start of each billing period until you cancel, and the pro-rata amounts in clause 6.5. The fee covers your plan, extra users and extra storage.
6.4 Card payments. Card payments are processed by PayFast. PayFast stores your card. We do not receive or store your card number; we hold only a reference that PayFast issues, which lets us charge the card on the terms in this clause.
6.5 Changes during a paid period. An upgrade to a bigger plan, extra users and extra storage take effect immediately. During a paid period, the difference for the rest of that period is charged to your card at once, calculated by the number of days left. The full new amount applies from your next charge. A pro-rata amount under R5 is not charged. If the pro-rata charge fails, nothing is changed.
6.6 Reductions. A downgrade to a smaller plan takes effect at the end of the current paid period, and the lower fee applies from then. Fewer extra users or less extra storage lower your next charge. Reductions are not refunded for the current period. A reduction is refused while your workspace uses more users or storage than it would allow.
6.7 Failed payments. If a payment fails, or has not been confirmed within 2 days of its due date, the workspace becomes read-only until a payment succeeds. You can still view and download your records. We try the card again once a day, up to four attempts in all, and email the owner after each failed attempt. You may restart the subscription with a new card on the Billing page at any time.
6.8 Price changes. We may change our prices. We give at least 30 days' notice by email before a new price applies to your subscription. If you do not accept the new price, you may cancel before it applies.
6.9 Enterprise. Enterprise pricing is agreed in writing. Enterprise fees are paid by card through PayFast, or by EFT against our invoice. EFT invoices are payable within 7 days of the invoice date. Access continues while the paid-until date on your account is current.
6.10 Billing queries. Send any query about a charge to contact@stackbou.co.za. Billing errors are corrected as set out in the Refund and Cancellation Policy.
7. Cancellation and termination
7.1 Cancellation requires one month's notice. Each billing period is paid in advance, so the period you have already paid for serves as that notice: when you cancel on the Billing page, all further charges stop and your workspace remains fully usable until the end of that paid period. The remainder of a period already paid for is not refunded, except as the Refund and Cancellation Policy provides.
7.2 Refunds are governed by the Refund and Cancellation Policy.
7.3 We may terminate your subscription on 14 days' written notice if you materially breach these terms and do not remedy the breach within that period. We may suspend access immediately where use of the workspace is unlawful, breaches clause 10, or threatens the security of SkeduloX or of other customers.
7.4 After the subscription ends, the workspace remains available read-only for 90 days, so that you can download your records. After that period we may permanently delete the workspace and Your Data. You may ask us to delete it sooner.
7.5 Clauses 7.4, 8, 9, 11, 13, 14, 15, 17 and 18 survive the end of the subscription.
8. Your data
8.1 You own Your Data.
8.2 You grant us a licence to host, copy, process and display Your Data solely to provide SkeduloX to you.
8.3 We do not sell Your Data, and we do not use it for advertising.
8.4 You may download job card PDFs and CSV exports from your workspace at any time, including while the workspace is read-only.
8.5 We take daily encrypted backups of the service. Keep your own copies of any records you are legally required to retain.
9. Personal information
9.1 For personal information contained in Your Data, including details of your staff, your customers and the people who sign job cards, you are the Responsible Party and we are the Operator, as defined in the Protection of Personal Information Act 4 of 2013 ("POPIA").
9.2 As Operator, and as required by sections 20 and 21 of POPIA, we:
(a) process that personal information only on your instructions,
as given through your use of SkeduloX, or where the law requires it;
(b) treat it as confidential;
(c) apply the security safeguards required by section 19 of
POPIA;
(d) notify you without undue delay where there are reasonable
grounds to believe it has been accessed or acquired by an unauthorised person;
(e) engage a sub-operator only under a written agreement that
imposes the same obligations; and
(f) delete it when the subscription ends, as clause 7.4 sets
out.
9.3 You confirm that you have a lawful basis for the personal information you enter into SkeduloX, including signatures and photographs, and that you have notified the people concerned as POPIA requires.
9.4 Personal information we hold about you as our customer is governed by our Privacy Policy.
10. Acceptable use
You and your users must not:
- use SkeduloX for any unlawful purpose;
- upload malicious code;
- attempt to access another workspace, bypass a security control, or exceed a plan limit by technical means;
- scan, probe or load-test SkeduloX without our written consent;
- resell, sublicense or share access with anyone outside your organisation;
- copy or reverse engineer the software, except as the law expressly permits;
- use SkeduloX to send unsolicited communications; or
- enter information you have no right to use.
Unauthorised access to a computer system is an offence under the Cybercrimes Act 19 of 2020.
11. Intellectual property
11.1 We own SkeduloX, including its software, design, content and documentation.
11.2 Your subscription gives you a non-exclusive, non-transferable right to use SkeduloX for your own business purposes while the subscription is active.
11.3 We may use any suggestion or feedback you give us, without obligation to you.
12. Third-party services
12.1 Payments are processed by PayFast. PayFast's own terms govern your relationship with PayFast.
12.2 Email delivery depends on the receiving mail servers, which we do not control.
13. Warranties
13.1 We provide SkeduloX with the reasonable care and skill that persons are generally entitled to expect, consistent with section 54 of the Consumer Protection Act 68 of 2008 ("CPA").
13.2 Limits of the warranty.
To the fullest extent permitted by law, and subject always to clause 14.4, our warranty does not extend to:
- uninterrupted or error-free operation of SkeduloX;
- any particular commercial result; or
- compliance of your business with any standard, certification or regulation.
13.3 Reports in SkeduloX, including compliance and Proof of Clean reports, are generated from the data entered into your workspace. They do not by themselves certify compliance with any standard.
14. Limitation of liability
This clause limits our liability to you and is drawn to your attention under section 49 of the Consumer Protection Act 68 of 2008.
14.1 Excluded loss. We are not liable for indirect or consequential loss, and specifically not for:
- loss of profit, revenue or anticipated savings;
- loss of business, contracts or goodwill;
- loss or corruption of data, beyond restoring it from our most recent backup;
- the cost of substitute services; or
- third-party claims made against you,
whether or not we were told that such loss was possible.
14.2 Overall cap. Our total liability to you, whether in contract, delict, statute or otherwise, is limited to the subscription fees you actually paid us in the 6 months before the event giving rise to the claim.
14.3 Time bar. Any claim must be brought within 12 months of the date you became aware, or ought reasonably to have become aware, of its cause.
14.4 Liability not excluded. Nothing in these terms excludes or limits our liability for:
(a) death or personal injury caused by our negligence;
(b) fraud or fraudulent misrepresentation;
(c) gross negligence or wilful misconduct;
(d) any liability that cannot lawfully be excluded,
including under section 51 of the CPA; or
(e) our obligation to refund fees for a service we did not
provide.
14.5 Your statutory rights are unaffected. If you are a consumer as defined in the CPA, you keep every right that Act gives you. Where this clause conflicts with such a right, the Act prevails and this clause is read down to the extent necessary.
15. Indemnity
This clause requires you to cover our losses in defined circumstances and is drawn to your attention under section 49 of the Consumer Protection Act 68 of 2008.
15.1 You indemnify us against any third-party claim, and the reasonable legal costs we actually incur, arising from:
(a) Your Data;
(b) a breach of clause 10 by you or your users; or
(c) your breach of any law, including POPIA in your
capacity as Responsible Party.
15.2 This indemnity does not apply to the extent the claim arises from our own breach, negligence or unlawful act. We notify you promptly of any claim and do not settle it without consulting you.
16. Force majeure
16.1 Neither of us is liable for a failure to perform, other than a failure to pay money, caused by an event beyond our reasonable control.
16.2 Such events include load shedding and electricity grid failure, failure of national or international telecommunications infrastructure, failure of an upstream hosting or network provider, a large-scale cyberattack not caused by our failure to take reasonable security measures, fire, flood, epidemic, civil unrest and government action.
16.3 If the event continues for more than 30 days, either of us may terminate on written notice, and you receive a refund of fees paid for any period in which the service was not provided.
17. Disputes, law and jurisdiction
17.1 Complaints. Send any complaint in writing to contact@stackbou.co.za before taking any further step. We acknowledge within 5 business days and respond substantively within 15 business days.
17.2 If a complaint is not resolved, we both attempt mediation in good faith before starting litigation. Each of us pays our own costs, and we share the mediator's fee equally.
17.3 These terms are governed by the law of the Republic of South Africa.
17.4 We both consent to the jurisdiction of the Magistrates' Court having jurisdiction over us, in terms of section 45 of the Magistrates' Courts Act 32 of 1944, even where a claim exceeds that court's ordinary limit. Either of us may approach a higher court where the law requires it.
17.5 Nothing in this clause limits your rights as a consumer. If you are a consumer under the CPA, you may at any time refer a complaint to an accredited industry ombud, a consumer court or the National Consumer Commission.
18. General
18.1 Whole agreement. These terms, the Privacy Policy, the Refund and Cancellation Policy and any signed Enterprise agreement are the whole agreement between us. A signed Enterprise agreement prevails over these terms where they conflict.
18.2 Severability. A provision found unlawful or unenforceable is severed, and the rest continues in force.
18.3 No waiver. A right we do not enforce immediately is not given up.
18.4 Cession. You may not cede or assign this agreement without our written consent. We may cede it to a successor of our business on written notice to you.
18.5 Notices. We give notice by email to the workspace owner's address, or to the billing email set on the Billing page. You give notice to contact@stackbou.co.za. Email notice is deemed received on the next business day unless delivery fails.
18.6 Plain language. These terms are written in plain language in accordance with section 22 of the CPA. Questions may be directed to contact@stackbou.co.za.
